How do we build shared company knowledge?

A practical, plain-language guide to the shortest route, the right screen, and what to know before continuing.

From guide to action

Open organizational knowledge

This opens the relevant work screen. You may be asked to sign in; no change is saved automatically.

Knowledge that remains useful during real work

Use My business → Organizational knowledge (/admin/company/knowledge) for procedures, decisions, playbooks, and reusable answers that belong to the company. It is not help about the platform and not public website content.

Create a useful knowledge item

  1. 1Give it a specific title that describes the question it answers
  2. 2Add an owner and keep the content focused on one procedure or decision
  3. 3Link the relevant customers and tasks
  4. 4Use comments for discussion instead of rewriting the source text in parallel
  5. 5Publish the approved version
  6. 6Review version history before restoring an earlier version

Team members can read and comment when knowledge access is enabled. Editing and publishing depend on their company role and explicit capabilities.

Tip: When a comment changes the approved procedure, update the document and create a new version instead of leaving the decision only in the discussion.

You can simply ask Up

Up answers using this guide, suggests the next step, and leads to the relevant screen.
